PA to the Head of Learning and Teaching
Marist College Ashgrove is a Catholic day and boarding school for boys in Years 5-12, situated in Brisbane's inner Northern suburbs. The College is looking for an administrative assistant to assist our Head of Learning and Teaching. This is a term-time continuing position at Level 5 on the School Officer Classification scale ($31.9184/hour). Common daily hours are 8:00 am–4:06 pm, including a half hour unpaid meal break (38 hours/week).
Job tasks and responsibilities
Typical duties performed include, but are not limited to:
- Provide administrative support to senior management of a school where discretion and judgement are required, including: taking minutes; organizing appointments and diaries; initiating and handling correspondence (which may include confidential correspondence); monitoring telephone calls; and establishing and/or maintaining working filing systems
- Train staff classified at lower levels by means of personal instruction and demonstration
- Apply knowledge of advanced functions of computer software packages and
- Maintain the academic information published on the College app and the Parent Portal, including assessment schedules
- From verbal or rough handwritten instructions, answer non-standard executive correspondence, prepare papers, briefing notes or other written material
- Co-ordinate exam room bookings, equipment and special consideration
- Preparation for Information evenings and assemblies
- Liaising with academic bodies such as QCAA, QCEC, ACARA and ACER
- Relief reception as required
Skills and experience (Selection Criteria)
The ideal applicant will have the following:
- Excellent organisational ability and attention to detail;
- Excellent interpersonal skills and demonstrated capacity to prioritise work from varied stakeholders, including occasional large volume work flows and critical deadlines;
- Ability to maintain confidentiality;
- An advanced knowledge and experience in Microsoft Office applications with the ability to prepare documents using advanced Word functions including merging.
- An effective knowledge of the College’s processes in relation to curriculum, assessment and student records;
- Tertiary qualifications at Associate Diploma/Diploma level or equivalent qualifications relevant to the position
